FAQ Artificial Intelligence

No. XLeap customers bring their own.

Why? When XLeap discussed AI integration with its corporate and government customers, their response was very clear: The topics of XLeap sessions are often confidential meaning that customers would not trust an integrated AI with such information.

Consequently, XLeap customers decide which AI – if any – they want to use with XLeap and what assurances they require from their AI vendor.

There are three basic reasons for inviting AI to your sessions:

  1. Stakeholder repesentation
If there are relevant stakeholders that cannot or will not participate in your meeting, AI can represent their perspectives. This is much more effective than asking the other participants to somehow “include” or “allow” for such perspectives in their thinking.
  2. Expertise
If AI can contribute relevant expertise, you want that AI at the “table” contributing to better outcomes.
  3. Preempt reviews by AI
Why would you limit AI to reviewing the outcomes of a meeting (something management will surely ask it to do) if you can leverage that potential to improve those outcomes? If you invite it, AI will reliably turn up at negligible cost.

As of today, Hosts can “invite” one or several AIs to participate in dynamic brainstorming. More precisely, Hosts can set up multiple AIs with similar briefings or one AI with multiple personas and different briefings.

Such “participating AI” does not just respond to a static prompt but responds to the contributions of other participants much like human participants do when those contributions pop up on their screens. Brainstorming sessions produce more divergent and original ideas and are far less likely to suffer from blind spots.

XLeap AI integration started with brainstorming because many collaborative meetings kick off by brainstorming the situation, a problem, the opinions in the room, solutions, or whatever. The outcomes of that brainstorming affect everything that follows, as one cannot compensate for missing ideas, opinions or facts.

Of course, AI participating in brainstorming is only the beginning. XLeap is working on several other uses aiming to improve the experience and the outcomes of real-time collaboration.

XLeap supports models

  • gpt-4o
  • gpt-4.1
  • gpt-5.2
  • gpt-5.4

of OpenAI (ChatGPT) and Azure OpenAI.

For Hosts to use AI with XLeap, AI accounts (“profiles”) for that AI must be equipped with an API key and show in the Host’s “Center settings” or “Personal settings.”

Hosts on a Personal XLeap Center

  • Purchase an API key for OpenAI as described below.
    Note that the
    • API keys given away with a ChatGPT browser subscription will not work!
    • Availibility of certain models may be tied to higher subscription tiers.
  • Ask the owner of an Azure enterprise AI for the account details of that AI which must include an API key.
  • Open tab “AI profiles” in your Center settings and select
    • “Predefined profile” to add your API key to the predefined OpenAI profile.
    • “New AI profile” to create a profile for Azure OpenAI.

Hosts on an Enterprise XLeap Center should be aware that their AI options are controlled by Center administration.

  • If Center administration has not permitted use of AI on your XLeap Center,
    • Tab “AI profiles” will NOT be available in your “Personal settings”.
    • Tab “Participating AI” will not show in the settings of the Brainstorm workspace.
  • If Center administration permits the use of AI
    • AND provides the API keys, such AI will be ready-to-use and show directly in tab “AI profiles” of your “Personal settings”.
    • BUT requires you to provide an API key for an AI, you find such profiles in your “Personal settings” under Add AI > Predefined AI profile.
Purchase or apply for the required API key and to complete these AI profiles.

XLeap supports the AI that powers Copilot.

Microsoft has embedded “Copilot” in its applications as a frontend to Azure OpenAI. If you belong to a larger organization with its own implementation of Azure OpenAI, your Copilot is likely to be powered by that enterprise AI rather than the consumer version.

XLeap supports the very same AI that drives Copilot, meaning your organization’s enterprise implementation of Azure AI or the consumer version.

Since XLeap is not a Microsoft product, and we also support the ChatGPT-version of OpenAI, XLeap does not call its implementation “Copilot”.

Sorry, no. Confusingly, ChatGPT offers some API keys with its browser subscription. However, the services enabled by these give-away keys are too limited to be usable by XLeap.

In other words: To use ChatGPT with XLeap, you must take out an OpenAI API subscription as described below.

Do not shoot the messenger: Unless Center administration has already provided an API key, you need to take out an OpenAI API subscription, even if you already have a ChatGPT browser subscription. The good news: $20 worth of tokens will get you quite a long way.

Subscribe. To get your subscription, go to https://platform.openai.com/docs/models/gpt-4o  and “Sign up” with the green button in the top right corner.

  • Should there be forks in navigation: head for OpenAI API, NOT ChatGPT.
  • You can sign up for as little as $5

Get your API key.

  • Click the cog wheel “settings” button which sits it the top right corner.
  • In the left-hand navigation bar, click on PROJECT > API keys
  • Click “Create new secret key” and copy it directly to somewhere safe
Note: When you return to OpenAI, it will not display existing API keys. However, you can create new keys without invalidating your existing key.

Implement your API key. Enter the key to the predefined ChatGPT profile in tab “AI profiles” of your "Center settings" or, if so, your "Personal settings".

Secure use of AI is a shared responsibility. XLeap safeguards contributions of an AI just as it safeguards human contributions. The connection between XLeap and any AI is, of course, protected by the latest TLS encryption.

The security of content “on” the AI depends on the terms of use agreed between you and your AI provider. For example:

  • ChatGPT (OpenAI) warrants that it does not use customer content to train the AI
  • Your organization’s enterprise AI may or may not be trained by (learn from) content submitted with your API key, depending on its purpose and your organization’s agreement with the AI provider, e.g., Microsoft.

As the Host, you control the sharing of XLeap content with the AI: For example, when you “open” a Brainstorm workspace for a “participating AI” the instruction and content of the workspace is shared with that AI exactly as it is shared with human participants.

Upshot: If you do not trust an AI with specific content or are instructed not to involve that AI on a given subject, do not invite that AI to participate in, for example, brainstorming that issue. This is exactly as for humans you do not trust or are not supposed to involve.

If you cannot find tab “Participating AI” in the workspace settings of the Brainstorm workspace, that means that you have not set up an AI account for use with XLeap yet. Setup of AI accounts depends on your XLeap deployment.

Personal XLeap Center. If you have a personal XLeap subscription, you can always set up accounts for AI you want to use with XLeap, under Center settings > AI profiles as explained in other documents of this FAQ.

Enterprise XLeap Center. If you run your sessions on an organizational XLeap deployment, you find tab “AI profiles” in your “Personal settings”. If that tab does not show, your organization’s Center administration has not (yet) cleared AI for use with XLeap.

You should find contact information for Center admin under the “More” menu of the XLeap toolbar.
